Dealer Participation Information

Returning dealers are given first choice on space in our shows. Returning dealers space is reserved and will be their's provided the contract for each show is returned with the correct deposit by the deadline for each show requested.

Dealers participating in other of our shows will be given preference over new dealers when space becomes available.
Most of our show's are filled with returning dealers. We must be doing something right. We normally have only one or two openings per show. We are always looking for something different.


New dealers will not be offered space in any show until the deadline for returning dealers to send in contracts has past. (February 15th)

Please note: We do not send out contracts unless space is available.

At all shows we will strive to keep the show well balanced. A good mix of dealers and not to many that do or sell the same thing.

Preference will also be given to dealers that create or make part of what they sell.

All our shows are retail shows. You may not sell wholesale to the general public but you may sell wholesale to bonafide business customers buying in quantity and presenting their sales tax certificate. No signs or price tags stating wholesale or wholesale prices may be displayed.

All of our shows have reached their maximum number of allowed bead dealers. We are not accepting any contracts from bead dealers at this time. We try to keep our shows balanced and do not intend to become a bead only show.

We do not allow the sale of loose faceted stones unless you also offer them mounted or offer to mount them at the show.

Material and equipment exhibited or sold MUST BE CORRECTLY REPRESENTED AND LABELED. The show management shall have the right to eliminate any materials, exhibit, persons, advertising, etc. which is considered objectionable for any reason. No discount signs may be displayed. Dealers will cover tables both back and front with fire resistant materials, and will keep the area neat and clean at all times. Dealer will comply with all fire, city and state regulations (including the collection and payment of sales tax). Dealer will furnish his own dealer sign no larger than 4 ft. by 8 ft. Only one dealer to a booth. We encourage all dealers to demonstrate at their booth. No alcoholic beverages will be permitted at the show and no smoking is allowed anywhere inside the buildings.

Dealers must be familiar with and comply with all Federal Trade Commission laws with regard to the sale of gem stones, jewelry, gold & silver and the regulations regarding deceptive pricing (sales or discounts).
In your contract with us you have agreed not to post any sale signs. This will keep you in compliance with Federal Trade Commission Regulations

Dealers with torches must have a properly functioning fire extinguisher!

Dealer will furnish all electrical requirements in good condition. Electrical availability at some facilities is limited, so we may need to ask your cooperation in reducing your electrical requirements.

All electrical plug strips and extension cords must have size 12 wire or larger (Larger wire size is indicated by a wire size number smaller than 12, Example: size 10 wire). The load on plug strips and extension cords must not exceed their rating. No lamp cords or zip cords allowed. Steamers and Kilns require a separate circuit for which there is a fee.

No flashing lights of any kind may be displayed by dealers.

Dealers must not rearrange table layout of their booth without the written permission of the show director. Anyone doing so is subject to being removed from the show and barred from doing any future shows. Many of our booths are backed up to another booth. If you open the sides of your booth letting the public into your booth, you then expose the backup table and money box, etc. of the booth behind you to the public. We do not allow this. Many times, electrical cords are under the tables. Electrical cords may not be exposed to the public. If you cover an electrical cord with a carpet it must have a rubber back. Backup tables are not to be exposed to the outside or the public. If you move them or rearrange them so that the public can get to these tables, you will be charged for outside tables.

Dealer agrees not to do any dismantling or packing until the show is closed. No dollies, carts or vehicles allowed on the show floor until all customers are out of the building.

Dealer agrees to leave their booth area clean and free of litter or be assessed a cleaning fee. If you spill any liquids, you are responsible to clean it up or be assessed a cleaning fee. If you drive into a building and bring in mud or water on your tires, you are responsible to clean it up or be assessed a cleaning fee.

Dealer will be responsible for any damage they cause to property, buildings or tables. If your light clamps crush the table, then you must buy the table. It is the dealers responsibility to use board, blocks or what ever necessary to protect the table. (See next item)

Dealer may not put staples or tacks into tables or walls. Dealer may not tape anything to walls.

Dealer will not bring vehicle into the building until all customers are out of the building.

Dealer will not bring vehicle into the building until all their teardown and packing is complete.

Dealer may not sell pipes or smoking apparatus of any kind.

Dealer may not sell food or beverage or give away food samples.

Dealer agrees not to use or bring onto the property, alcoholic beverages, including beer and wine. This is in every contract with have for building use.

Pen-hooking is the act of you or your representative going to a place of business other than your own and attempting to lure the customers to your place of business. Examples: telling them you can give them a better deal or that you have it cheaper. Pen-hooking is illegal in our home state of Virginia. As a show organizer, we will not tolerate pen-hooking at any of our shows. If you are caught in this activity, you will be removed from the show and will be permanently barred from all future show with us.

We will provide application forms to dealers at the show for obtaining sales tax certificate or temporary sales tax certificate if available in that state. If you already have a sales tax certificate, bring it or a copy with you, state law requires you to display it at the show.

We will provide temporary sales tax certificates for all shows in Virginia.

Backup Tables (Tables inside your booth not exposed to the customers) = $20.00 each

Backup tables are tables used inside your booth and are not exposed to the customer.
They are for your use only, such as money box, cash register, bags, supplies and packaging. Any table exposed to the customer is an outside table.
You may not rearrange the tables in your booth so as to expose your backup tables to the customers. If you do wish to do so, you must have the show directors permission in writing to rearrange your booth and you will be charged for outside tables instead of backup tables. Please remember that the fire code requires any asle where the customer walks to be at least 5 feet wide.

We try to honor special request. Preference is given to the oldest dealers in the show. We do not and can not guarantee booth location on the show floor. Many things effect the floor plan layout. Number of dealers, location of doors etc, location of electricity and size of dealers booth. If you change your booth size from the previous year, this could require a move to a different location.
At the Indianapolis, IN show which is held twice a year, any dealer that books booth shows can get the same spot at both shows. Any dealer booking only one show can not be guaranteed the same spot as in previous shows.

One half booth rent (or one $400 floater deposit) to accompany your application. The floating deposit will be applied to the last show of the year that you book. Make checks payable to Treasures Of The Earth Gem & Jewelry Shows.

Booth fee's deposits are to be paid by check. Final payment at the show is to be made by cash or check before moving in, no exceptions. Sometimes dealers that fill last minute cancellations must pay via credit card due to the short time. If you pay by credit card there will be a 2 1/2 percent service charge. This is what the card company charges us.

When you receive contacts to fill out, you must return both copies. They are not yet signed by us and are not valid until we have signed them. If you are admitted to the show you are applying for, we will sign the contract and return one original copy to you.

All shows in National Guard Armory's are subject to being canceled if the Guard Unit is activated or there is a State or National Emergency. Before traveling to these shows, please call or check our website to confirm that the show will be held.

There is no provision in the contract for you to cancel a show. If you do cancel we will attempt to sell your space. There is no guarantee that we can sell the space. If the show is full and we successfully sell you space we will give you credit for your booth fee on a future show.

If for any reason the show has to be canceled (by the promoter) prior to 30 days before setup, applicant will waive any claims except for monies paid. If for any reason the show has to be canceled (by the promoter) within 30 days of setup, applicant will waive all claims.

Any dealer who cancels a show or fails to attend a show for any reason will owe the full booth fee as agreed to in the contract. Any dealer who fails to pay the balance due will be barred from all future shows until their account is paid up.

If interested in doing any of our shows, please call or write requesting a contract. Note: E-Mail does not work very well because we receive 100's of pieces of junk each day and it is difficult to find the real message that is not junk. Please state what you sell in your booth. A contract will be sent if there are any openings and provided the show is balanced with what you sell.

If a show is full you can request to be put on the waiting list. We still use the selection criteria stated above.

Please note: No contract is valid without a deposit and no space will be reserved without BOTH a contract and a deposit.

If you are a new dealer, we cannot tell you if we have any space available until the last of February. All shows were sold out last year and returning dealers have until February 15th to reserve their same booth space.

All show locations, except Indianapolis, offer free parking to the public.
At Indianapolis, Parking for the public is $8.00 each time they enter the Fairgrounds. At this show dealers will be given a parking pass on setup day that is good all weekend.

Indiana State Fairgrounds - Parking Policy
All Box trucks, but not vans, and any trailers are required to park in the following lots:

•Infield (Area in the center of race track) Located behind the building our show is in.
•Lot across the street and south of 38th street
•North side area north of the race track
Vehicles may unload their product/equipment/etc. at the building, but must quickly move to these designated areas after unloading. Throughout the scheduled event, if trucks need to restock, opportunities for unloading will be accommodated.

All show locations offer on-site camping for the dealers only with self contained units unless otherwise listed.

Salem, VA offers camping with full hookups for a fee of $35/night.
Indianapolis, IN offers camping with full hookups for a fee of $35/night or 25/night with no hookups. The campground at the Indianapolis State Fairgrounds is open to the public.

If camping, it will be your responsibility to check-in with the facility office upon arrival and pay your camping fee in full.
Any failure to check-in or to pay your camping fee in full will result in your being barred from all future shows.

All printed advertising, flyers,etc. displayed at our show must be approved by the show director.

You may not sell or give away food in our shows. Most of the buildings we rent have it in the contract that we can not sell or give away food. In most locations a special license is also required.

New Law - State of Virginia - Code of Virginia, § 54-859.26
It is now illegal for you to buy precious metals or gem stones from anyone other than a wholesaler or distributor without buying a very expensive permit and a surety bond. Both are to expensive for anyone to buy for a 3 day show.
You must also give an inventory and discription of each item to the local police department and hold the items for 10 days after doing this so that the police can inspect the items to see if they show up on stolen list. Impossible to do if you are doing a three day show. Most localities have added that they only sell the permit to permanent locations.

Your contact for service or any need will be the show management. You are not to contact the building management. You could cause us to receive a service charges, etc.
You are not authorized to negotiate with the building staff on our behalf for any reason. Doing so will result in your being barred from all future shows

Dealers and their staff are expected to conduct themselves as ladies and gentlemen and to treat all customers with respect. Dealers and their staff are required to dress neat and to be clean.
No disorderly conduct, abusive conduct, foul language or disrespect towards customers will be tolerated. Any dealer who is removed from a show for bad conduct will be barred from all future shows.

All over the country some unscrupulous and unethical promoters are trying to move into locations where club or other promoter shows are successful. If you choose to do a show with one of these promoters in a location where we have a show, you will not be offered any future contracts for our shows. We can not support those that help to destroy our business.

Any dealer that cancels one of our shows and we learn that they participated in someone else's show on that weekend will be permantly barred from all our future shows.

Please note that a contract to be in one of our shows this year is not a contract for future years nor is it a guarantee of a contract in future years. Please read all of the above to see how we select and offer contracts.
